Prepare decisions before pressure increases
Reputation is built through behaviour, relationships and communication. When an issue emerges, words cannot replace the necessary decisions, but they should help the organisation explain what it knows, what it is doing and how it intends to update its stakeholders.
We support companies and organisations in preparing for and communicating during sensitive situations, connecting analysis, messages, spokespeople and stakeholders. We distinguish preventive work from support during an event, defining responsibilities and activation arrangements.
The aim is to reduce improvisation and inconsistencies, not to promise the absence of crises or control over every reputational consequence.
Build preparation that people can use
We start with issues relevant to the organisation and the processes already available. We identify scenarios, stakeholders, information dependencies and stages where unclear communication could make the situation worse.
We define activation workflows, responsibilities, approvals and escalation criteria. We support the organisation in defining the crisis management committee’s membership and roles, clarifying who gathers information, who approves messages and who coordinates updates. We prepare tools proportionate to the context: stakeholder maps, messaging outlines, questions and answers, and channel guidance.
Workshops and crisis simulation exercises test whether people know what to do and which information they need. A plan should be more than comprehensive on paper: the people who will use it need to be able to consult, understand and update it.
Communicate as an event develops
During an ongoing issue, we help establish the available information and distinguish confirmed facts, points still requiring verification and decisions that belong to other responsible parties. We support the definition of communication priorities and the coordination of messages and spokespeople.
We agree how and how often updates will be provided, observing media, conversations and stakeholder enquiries within the available scope. We avoid disconnected responses or statements unsupported by verified information.
Communication support does not replace operational management, legal assessments or the obligations of the appropriate professionals. Availability, response times and channels are agreed: they do not automatically imply an unlimited, continuous service.
When to activate preparation or support
A project can begin with a desire to prepare more effectively or with a situation that is already sensitive. Before defining activities, we clarify the nature of the issue, responsibilities and available resources. We can support the following needs, for example.
- Review a crisis communication plan and its decision-making workflows.
- Prepare management and spokespeople for sensitive scenarios through simulations.
- Coordinate internal and external communication during a critical event.
- Handle enquiries and updates for the media and priority stakeholders.
- Review an event to improve processes, materials and future preparation.
How we organise the work
-
01
Assess
We gather information, scenarios and existing processes. We identify stakeholders, contacts and priorities, clarifying the limitations of available information and the scope of support required.
-
02
Prepare
We build or update workflows, materials and response principles. We agree responsibilities and approvals and, in preventive programmes, test the approach through exercises and discussions with the teams.
-
03
Support
We support messaging, briefings and updates within the agreed arrangements. We maintain coordination with operational managers and other advisers without overlapping roles and decisions.
-
04
Learn
We review activities, stages and feedback to identify process issues and tools to improve. We update the plan and share recommendations that support subsequent preparation.
Clear tools and identifiable responsibilities
The work may include scenario analysis, a crisis management manual bringing together the communication plan, workflows, roles and activation procedures, as well as messages, questions and answers, briefings and simulations. During ongoing situations, we can support communication coordination and the interpretation of feedback.
We also agree who maintains the materials and when to review them, so that organisational changes and new contacts do not quickly make the shared guidance outdated.
Each tool is built around the organisation and its processes. Preparation supports more informed decisions and greater consistency in communication, keeping responsibilities, missing information and areas of uncertainty explicit.
